Regional Election Committee Guidance

Thank you for your commitment to serve on an Election Committee for FCM. Your service will enable the next generation of leaders within FCM to contribute to our continued growth and progress toward our mission.
This resource is intended to provide you with the information that you will need to successfully run your region’s election for a Regional Vice President.
This process is dictated by our Bylaws and this resource follows the indicated requirements in order to complete an election in accordance with the Bylaws.

The Circle of Directors
Resources for Successful Elections
- Step 1
The Circle appoints an Election Committee comprised of members of the region holding the election. A representative from the Circle identifies the Election Committee to the members of the region, formally introducing the membership to the Election Committee and the upcoming process. - Step 2
The Election Committee invites nominations for the office of Regional Vice President. This is done via email, to allow members of the region to offer nominations. A member may nominate themselves, or another member. There is no minimum number of nominations required for a candidate to be allowed to run. - Step 3
The Election Committee creates an electronic ballot that is sent to the members of their region. - Step 4
Once the voting period ends, the Election Committee tallies the result, and informs the Circle of Directors of the results of the election. - Step 5
After the Election Committee sends the results to the Circle, they send the results to the members of the region.
To set your election up for success, the Circle recommends that you complete these tasks:
- Decide and set a deadline for the submission of nominations to be included in the “call for nominations” notification.
- Decide and set a voting period, where your Committee will accept votes. If possible, it is good practice to include both the nomination deadline and the voting period dates in your initial communication to your region.
- Provide an method for members to submit their nomination/vote other than electronically. This is a requirement made in the Bylaws, this can be accomplished by:
- Ensuring the nomination deadline/election is announced in the FCM Newsletter, indicating that members may contact the Central Office for assistance in submitting their nomination/vote via telephone or mail.
- Build in some “contingency” time into your schedule to allow for any unforeseen complications, such as no nominated candidates, an error with ballots or nominations, or another administrative issue.
